Tracking work with Assignments
Assignments keep track of the work on your matters: what needs doing, who does it and when it is due. You create an assignment, give it to yourself or a colleague, and follow it until it is done, or hand it to Andri to work on. In the Dutch interface, Assignments is called Opdrachten.
Assignments are part of the Business plan.
Where to find assignments
You can open assignments in three places:
Assignments in the top bar shows every assignment you can see across the firm.
My work, the switch at the left of the Assignments toolbar, shows the assignments given to you.
In a case, Assignments in the left sidebar shows the assignments for that matter. A red number next to it counts its overdue assignments.
Each page shows a table or a board; switch with the view buttons in the toolbar. Active (To do, In progress and In review), Backlog, Done (Done and Cancelled) and All narrow the list. On Assignments and My work you can also filter by Matter, Due date and priority.
Create an assignment
Give the assignment a title and add the details you need. Link a matter if you want to hand the work to Andri later.
On Assignments, My work or Assignments in a case, click New.
Enter a title and, optionally, a description.
Set the properties you need (see the table below).
Click Create.
Turn on Create more to add several assignments in a row with the same properties. When you create an assignment from Assignments in a case, the matter is already filled in.
Property | Options |
|---|---|
Status | Backlog, To do (default), In progress, In review, Done, Cancelled |
Priority | Urgent, High, Normal (default), Low |
Type | General (default), Call, Email, Draft, Review, Meeting, Filing |
Assignee | You (default), or a colleague. Once a matter is chosen, you can also pick Andri (delegate) to hand the work to Andri. |
Matter | The case the work belongs to. Optional. |
Due date | Today, Tomorrow, Next week, or any date from the calendar |
Update an assignment
Click an assignment to open it in a panel on the right. There you can change the title, the description and every property. On the board, you can also drag a card to another column to change its status.
To break the work into steps, add a checklist:
Under Checklist, type an item and press Enter.
Tick the item when it is done.
When the work is finished, set the status to Done. If the work is not needed after all, set it to Cancelled.
Comment and mention colleagues
Comments keep the conversation about the work on the assignment itself.
Type your comment in the box at the bottom of the panel.
Press Enter to send it.
To bring in a colleague, type @ and choose their name. They get a notification. On an assignment linked to a matter, mentioning @Andri gives Andri an instruction; see Handing an assignment to Andri.
Notifications
We notify you in your Inbox and, if you use the iPhone app, with a push notification. You get one when:
a colleague gives you an assignment
someone mentions you in a comment
one of your assignments reaches its due date
Who can see, change and delete an assignment
See: the assignee always sees their assignment. An assignment linked to a matter is visible to everyone with access to that matter. An assignment without a matter is visible to everyone in your firm.
Change: anyone who can see an assignment can change it and give it to someone else.
Delete: the person who created the assignment, its assignee, or a company admin.
To delete an assignment:
Open the assignment.
Click the trash icon at the top of the panel.
Click Delete.
The assignment is deleted with its comments and checklist.
Credits
Creating, updating and commenting on assignments uses no credits. Andri's work on an assignment does, as Handing an assignment to Andri explains.
Assignments in workflows and on your iPhone
Workflows can create and update assignments with the Create Assignment and Update Assignment steps, and can start with the Assignment Updated trigger; see Workflow triggers.
In the Andri iPhone app, the Assignments tab lets you create, update, comment on and hand over assignments on the go.
