Save and publish workflows

Workflows go through two stages: draft and published. Save your work as a draft while you edit it, then publish when it is ready for use.

Save Draft

Click Save Draft to keep your workflow without making it available to cases. Drafts are visible only to you while you refine the workflow.

Use Save Draft when:

  • You are still building out the workflow steps

  • You want to test configuration before releasing it

  • You need to pause and continue editing later

Publish

Click Publish to make the workflow available for cases. Published workflows appear in the workflows list and can be enabled for individual cases.

After publishing, the workflow becomes visible to your team for shared workflows, or available in your cases for personal workflows.

Workflow visibility

Published workflows show in your Workflows list with their status:

  • Personal — Only you can see and use this workflow

  • Company — Available to everyone in your organization

Editing after publication

You can continue to edit a published workflow. Save changes as drafts until you are ready to push them live. When you publish updates, cases using the workflow will run the latest version.
